General Information
Pricing and Terms
Payment
All summer programs fees must be paid in full to NCSY by May 1. Any pending scholarship requests WILL NOT be applied towards the balance. In the event that a person has a pending scholarship either with NCSY or with another organization, that person’s balance must be paid in full by May 1 INCLUDING the amount pending in scholarships. If after May 1 additional scholarship monies are received by NCSY, NCSY will immediately credit the account for the amount received. Scholarships will be applied towards the cost of the program ONLY when NCSY has received an official letter of intent from the funding source.
Deposits
All listed prices include a $250 application deposit which must be submitted at the time of application through our online registration system. Upon acceptance to any program, we require an additional non-refundable acceptance deposit of $500 to secure a seat on the program. If this deposit is not paid within two weeks of acceptance, NCSY reserves the right to re-assign the seat to another applicant. Note: The $750 in deposit fees are a portion of the overall program cost and do not represent an additional expense.
Withdrawals, Refunds & Cancellations
Individuals who apply before February 15 and withdraw no later than March 1 will be eligible for a $100 refund. Individuals applying after February 15 or withdrawing after March 1 will not be eligible for any refunds. In the event of a cancellation of program by NCSY, a complete refund shall be made of all monies paid.
Interview & Acceptance
Acceptance to all programs is contingent upon a successful interview and reciept of two (2) letters of recommendation. Additionally, participants must submit a medical form and a copy of their medical insurance card before tickets or bus passes are issued.
For security purposes, all participants are required to submit a recent digital photograph as part of the application process. All photographs MUST be emailed to before an interview or acceptance to an NCSY Summer Program. All decisions regarding acceptance are at the sole discretion of the Director of NCSY Summer Programs.
Termination
The Director of Summer Programs reserves the right to terminate a child’s participation on an NCSY Summer Program. In the event of such termination, NCSY will make its best effort to secure unchaperoned travel arrangements for the child taking into account all the practical considerations and difficulties (flight availability, cost, etc.) this presents. In the event a parent or legal guardian decides to terminate his/her child’s Summer Program prior to its conclusion , the parent or legal guardian assumes all responsiblity to coordinate the child’s unchaperoned travel arrangements. In either of these cases, any and all additional expenses will be the sole responsibility of the parent or legal guardian and no refunds will be issued.
Arrival & Departure
NCSY provides travel arrangements for all Summer Program participants. For domestic programs, bus transportation will be available from various locations for a nominal fee. For international programs, all group flights will leave from John F. Kennedy (JFK) airport in New York. It is the responsibility of each program participant to make the appropriate arrangements to get to and from the airport in New York. As a courtesy, NCSY will send advisors to meet program participants at JFK baggage claim up to five (5) hours prior to scheduled group flight departures. At the conclusion of the program, NCSY’s responsibility for all participants ends when the group flight lands at JFK. Additionally, NCSY is not responsible to arrange accommodations for ANY participants arriving one or more days prior to the program’s scheduled departure.
Flight Arrangements & Luggage
Airline tickets are not transferable and may not be exchangable for reservations at any other date. All flight deviation fees are the responsibility of parents of program participants. Transportation for the overseas programs is via group flights. NCSY is not responsible for the cancellation or schedule change of any flights nor any fees connected with their cancellation, schedule change or lost baggage. In all cases of lost or damaged luggage, program participants must deal directly with the airline.
Subject to Change
NCSY summer program fees include group travel, food and accommodations for the duration of the trip. All program dates are subject to change and all program fees are subject to change due to flight and fuel price increases and other variables. Additionally, the duration, itinerary or other details of the program may be canceled, curtailed, altered or modified without prior notice, obligation, or reimbursement.
Discounts
All participants who apply prior to December 31st will be eligible for a $150 discount off the total cost of the program. In order to receive the discount, you MUST enter the coupon code “early-bird” at the cart screen of the online application. All participants who have previously attended an NCSY Summer Program will be eligible for an additional $100 discount off of the cost of the program. In order to receive the discount, you MUST enter the coupon code “returnee” at the cart screen of the online application prior to November 26th.
